Meetings
Corporate offsites, annual sales conferences, distributor and dealer meets, town halls and annual planning sessions. Meeting space is contracted with the room block, not booked separately at a premium once the group is locked in.
Meetings, incentive travel, conferences, corporate offsites and events for Indian companies travelling abroad, planned and delivered by one team.
Luxury Unlocked is a MICE and corporate travel company based in Gurgaon, planning meetings, incentive travel, conferences, events and corporate offsites for Indian companies travelling abroad. The brief usually arrives the same way: a number of people, a window of dates, a budget that has to hold, and an outcome the business is accountable for. Our job is to turn that into a programme that runs without your internal team having to chase anything.
We work as your single point of contact across the whole programme, from the first destination shortlist to the final reconciliation. Hotel contracting, room blocks, group air, airport meet-and-greet, ground fleet, meeting space, AV and production, F&B, dietary requirements, gifting, spouse programmes and side excursions all sit with one team in one thread.
Because we hold preferred-partner status with Virtuoso, Four Seasons Preferred Partner, Hilton Impresario and Hyatt Prive, corporate group travel often carries the same privileges our private clients receive: upgrades where inventory allows, breakfast, property credits and negotiated meeting space rather than a rack-rate day delegate package.
Companies come to us for two reasons. The first is that a group programme abroad has more failure points than any other kind of travel, and most of them are contractual rather than logistical. The second is that an offsite, an incentive trip or a dealer meet is one of the few budget lines where employees can tell the difference between competent and considered. We are built for the second standard.
Corporate offsites, annual sales conferences, distributor and dealer meets, town halls and annual planning sessions. Meeting space is contracted with the room block, not booked separately at a premium once the group is locked in.
Incentive travel that people talk about long afterwards. Tiered reward programmes for top performers, channel partners and dealer networks, each built around one signature experience rather than a longer list of average ones.
Multi-day conference agendas with plenary and breakout rooms, AV and production, delegate registration, badging, and airport transfer waves managed against the actual arrival manifest instead of a nominal schedule.
Award nights, product launches, milestone anniversaries, team outings and private dinners, held in venues that are not on the standard banquet circuit and do not look like every other company's event.
A short flight from India with strong resort inventory. The easiest destination for 40 to 200 delegates who need beach, banquet and conference space on a single property.
Our signature territory. Incentive safaris for small senior groups, private conservancy camps and full-lodge buyouts, with the game drives and camps we book every week of the year.
Whole-island and multi-villa buyouts for compact, high-value incentive groups and leadership offsites where seclusion is the point of the reward.
Excellent value at scale, walkable cities, new-build resort inventory and a genuinely different itinerary for companies whose teams have already done Dubai and Bangkok.
Premium incentive programmes for top-tier performers, with rail logistics, ryokan nights and city hotels handled end to end so the group never manages a connection itself.
Discreet, low-density island programmes for boards, founder groups and small leadership cohorts who need the property largely to themselves.
Delegate count, dates, per-head budget, the business outcome and any board-level constraints. We come back with two or three costed destination routes, not a brochure.
Options costed against the same brief so they are genuinely comparable, with a familiarisation trip for the organising team where the size of the programme justifies it.
Rate negotiation, attrition and cancellation terms read line by line, room block management and release dates tracked, group air held, and visa documentation prepared for every passport in the group.
A tour manager travels with the group. Arrival waves, transfers, meeting rooms, meals and excursions run to a printed run sheet held by our team rather than by your HR or admin lead.
One consolidated, GST-compliant invoice, a final cost sheet against the approved budget, and a delegate feedback summary you can take into next year's planning cycle.
3 to 4 nights. Vietnam, Sri Lanka, Dubai and Thailand. Per delegate, land cost.
4 to 5 nights. Mauritius, the Maldives and Seychelles. Per delegate, land cost.
Kenya, Tanzania and full-property buyouts. Per delegate, land cost.
Indicative bands only, and they move with season, property tier and group size. Land cost covers accommodation, meals per the agenda, meeting space, transfers and experiences. International flights, visa fees and GST are additional and always billed at actuals. Send us a delegate count and an approved budget and we will tell you honestly what it buys before you commit to a destination.
Four nights in Mauritius on one property. Two full conference days with plenary and four breakout rooms, an award dinner on the beach on night three, and a half-day catamaran excursion. We contracted the meeting space inside the room block, held 30 twin and 30 single rooms with staggered release dates, and ran arrivals across two flights into Port Louis.
Five nights split between a Maldivian island resort and a night either side in Male. The reward was the seclusion, so the programme carried almost no schedule: one group dinner, one reef excursion, and everything else optional. Two-thirds of the group had never travelled internationally for work before, so we handled every visa and every transfer individually.
Three nights in Vietnam, with delegates arriving from eleven Indian cities. The complexity was not the destination, it was the manifest. Sixty-eight separate flight itineraries, four arrival waves, a product-launch session on day two and a gala on day three, with a tour manager and two coordinators on the ground throughout.
Whole-property buyouts, meeting rooms chosen for light and sightlines, a named lead on the ground and a parallel spouse programme when it is needed. Planned with your EA or chief of staff, not broadcast to the organisation.
Explore leadership retreats
MICE stands for meetings, incentives, conferences and events, the four kinds of business travel that move groups rather than individuals. A MICE company handles what a corporate travel desk usually cannot: contracting hotels and meeting space as a block, negotiating attrition and cancellation terms, managing group air and visas across a whole manifest, and putting someone on the ground with the group. We do all four for Indian companies travelling abroad.
Most of our corporate programmes run between 15 and 400 delegates. Small senior groups and board retreats are a particular strength, because they need judgement rather than volume handling. For very large conferences we will tell you honestly if a specialist production house should sit alongside us rather than pretend otherwise.
For 3 to 4 night offsites, Vietnam, Sri Lanka, Dubai and Thailand give the best ratio of flight time to value. For incentive travel where the destination is the reward, Mauritius, the Maldives and the Seychelles carry more weight. For senior cohorts, Kenya and Tanzania are our strongest territory and the hardest for anyone to match on the ground.
Indicatively, ₹90,000 to ₹1.6 L per delegate for a 3 to 4 night regional offsite, ₹1.8 L to ₹3.2 L for a 4 to 5 night incentive resort programme, and ₹3.5 L upwards for an incentive safari or a full-property buyout. Those are land costs. International flights, visa fees and GST are additional, and every band moves with season and property tier.
Either as a per-delegate rate covering the full inclusions, or as a transparent cost sheet plus a management fee. Larger and repeat clients usually prefer the second, because it shows exactly what each supplier is being paid. Either way you receive one consolidated, GST-compliant invoice rather than a file of separate vendor bills.
Yes. We prepare the invitation letters, covering documents and appointment scheduling for the whole group, and we track every passport through to submission. This is where most group programmes actually fail, so we treat the manifest as the critical path rather than an afterthought. Visa fees and government charges are billed at actuals.
Yes, and sometimes we recommend it. Where a hotel's day delegate package is poor value or the room is simply wrong for your agenda, we contract an offsite venue or an independent AV supplier and manage the transfers between the two.
For programmes above roughly 40 delegates, or any programme with a multi-city route, yes. A tour manager travels with the group and is on the ground from the first arrival to the last departure, with coordinators added as the delegate count rises.
Six to nine months for peak-season programmes and anything needing a full-property buyout. Three to four months is workable for smaller offsites in shoulder season. Board retreats and senior leadership retreats can move faster, because the group is small enough to place at short notice.
Delegate count, dates and the outcome you are accountable for. We will come back with two or three costed routes.
